AI employees

AI employees for business that actually work

Not chatbots, but colleagues with a role and a memory, who work inside your systems and keep learning. You give a task in chat, the AI employee does it, reports back and asks for your approval where it matters.

  • ~1 monthfor the first AI employee
  • from $1,500one-time development
  • 100%of important actions need your approval
The problem

Routine eats the team

People spend hours on things that repeat day after day. Managers drown in emails, documents and reminders, and there is no time left to grow the business.

Lots of manual work

Checks, reminders, correspondence, documents, reports. Each small thing is quick on its own, but together they take up the whole working day.

Hiring is slow and expensive

Search, training, onboarding. And there is always the risk that a person leaves and takes the knowledge about your clients and processes along.

Chatbots don’t act

They answer questions but do nothing inside your systems: they don’t create orders, prepare contracts or remind a client.

You need not a bot, but an employee who sees a task through to the result.

What it is

What is an AI employee

An AI employee (also called a virtual employee or AI coworker) is a software colleague built on a large language model, which we set up for a specific role in your company: sales manager, accountant, lawyer, QA engineer, project manager, purchasing or order-processing specialist. Those are only examples: we create the role around your processes, so an AI employee can take over any repetitive work with documents, data and communication. It understands tasks written in plain words and carries them out in your working systems.

Unlike a general-purpose chatbot, an AI employee has a clear area of responsibility: it remembers agreements and follows your rules. Everything it does is written to a log, and important decisions wait for your approval.

Has a role

Manager, lawyer, accountant, QA, developer and other roles. We create the role around your process: it defines what the employee does and what it does not.

Remembers

Clients, projects, agreements and rules. Never asks twice about something it already knows.

Acts

Works in your systems through the API: creates, updates, sends, checks.

Reports

Writes what it did and when it needs your decision. Everything stays in the history.

What it looks like

Talk in chat, like with a colleague

You write in plain words. The employee asks follow-up questions, does the work and replies. There is no new interface to learn.

  • No new interfaces: you work where you already talk to your team
  • You can tag an AI employee right in a task
  • Employees help each other, so a task doesn’t get stuck between roles
  • Everything it did is visible in the task history

Leo, check yesterday’s requests and prepare wholesale offers.
Leo Found 7 requests, 3 of them wholesale. Prepared 3 offers. One lead has been silent for 5 days: should I remind them?
Yes, remind them. Show me the offers.
Leo Done. The offers are waiting for your approval.
3 offers ready waiting for confirmation
Comparison

AI employee, chatbot or a new hire

What to choose for the routine tasks that eat your team’s time every day.

Chatbot New hire AI employee
What it does in your systems Mostly answers questions Does the tasks Does the tasks through the API, following your rules
Memory of clients and agreements Limited by the script Depends on the person Stores and uses knowledge about clients, projects and rules
Time to launch Quick, but narrow in function Search, training, onboarding ~1 month for the first, 2-3 weeks for each next one
Risk of losing knowledge None A person can leave with the knowledge Knowledge stays in a system you control
Control Chat logs Depends on your processes Action log and approval of important steps

Nobody is replaced in complex decisions: the AI employee takes over checks, preparation and reminders and leaves the decisions to you.

Who it is for

For teams where routine eats the growth

01

Small and medium business

5-100 people, a CRM or spreadsheets, and managers drowning in emails, documents and reminders. Online stores, distribution, service companies.

02

Agencies and service teams

Many projects and clients at once: tasks, quality checks, reports, deadlines. This is exactly how we work ourselves.

03

Integrators and contractors

Add AI employees to your own service for clients and earn on implementation and the partner program.

Our team

AI employees that already work for us

This is not theory: these employees do real work at NextDoorCoders every day. The personas are matched to the character of each role. They are AI employees, not real people.

QA

Steve

Checks work against the requirements and sends it back for rework.

Project manager

Maya

Manages tasks, assigns work and watches the deadlines.

Sales

Leo

Works with leads and prepares commercial offers.

Accountant

Mark

Prepares contracts, invoices and acts.

Lawyer

Diana

Reads contracts and finds disputable terms.

Partnerships

Emma

Handles correspondence with partners and reminds about agreements.

What it gives us every day

We launched AI employees in our own team. Here is what changed.

~25 partners
handled at once, saving ~6 hours a week
Emma · partnerships
7 min instead of 1 hour
for a contract, invoice and act
Mark · accounting
2 min instead of 20
for a commercial offer, and no lead gets lost
Leo · sales
~5 min instead of 1 hour
per task: checked against the requirements before a person sees it
Steve · QA

Approximate values from NextDoorCoders’ internal use.

Control and memory

You know what is done and what needs attention

The AI employee checks the result against your rules, reports problems and hands important decisions to you. The longer it works, the less you need to explain.

Checks the result

Whether all conditions of the task are met. If data is missing or something doesn’t add up, it asks.

Waits for approval

Shows the result and open questions where your decision is needed: discounts, payments, sending to clients.

Learns in chat

Say “remember that…” and the rule applies to all the project’s next tasks.

Acts on time

Reminders on the right day, delayed actions (“send the invoice on Friday”) and conditional ones (“if the client is silent for 3 days, write to them”).

Integrations

Works where you already work

It lives in a separate service and connects to your systems through the API. We don’t rewrite or touch your systems.

  • Telegram
  • KeyCRM
  • Zoho
  • Custom-built software
  • Task comments
  • Any web application with an API or code access

The AI employee service stores roles, memory, rules and the action log. You talk to it in chat and in task comments.

When it fits

When an AI employee pays off the most

Not every task should go to AI. These are the three signs we use to choose the role for a first employee.

Tasks repeat every day

Checks, reminders, correspondence, documents, reports. The more often the work repeats, the faster an AI employee pays back.

The result can be described with rules

You can explain what counts as correct: which terms, prices, deadlines. These rules become the employee’s regulations.

You have systems with an API or code access

A CRM, accounting system, spreadsheets, Telegram or custom software. The AI employee works where you already work.

Not sure your process fits? In 30 minutes we will go through it together and tell you honestly whether it is worth giving to an AI employee.

Example tasks

Tasks an AI employee takes on

Three scenarios we set up most often. Each one prepares the result and hands you only what needs a decision.

Purchasing

Purchasing: what to order, how much and when

Watches stock and sales and prepares purchases with delivery times in mind.

  • Calculates how many days the stock will last
  • Spots items that will run out before the next delivery
  • Prepares supplier orders: items, quantities, amounts
  • Separately flags questions that need your decision
You approve a ready purchase instead of assembling it by hand from spreadsheets.
Orders

Order processing without manual checks

Checks new orders and prepares them for handover to the warehouse.

  • Matches availability and quantities
  • Checks payment, prices, discounts and delivery details
  • Finds duplicates and orders with missing data
  • Reserves items by your rules and passes them to the warehouse
The manager gets specific questions instead of a list of orders to check by hand.
Sales

Commercial offers before the lead goes cold

A sales AI employee collects client data and prepares a commercial offer for the request.

  • Reads the request and the history with the client
  • Picks items, prices and terms by your rules
  • Builds the offer and passes it for approval
  • Watches for a reply: if the client is silent, it reminds them
The manager approves a finished offer instead of building one from scratch.
How it is implemented

From your business processes to an AI employee

  1. 1

    We go through your work

We discuss the processes and decide which tasks go to the AI employee.

  2. 2

    We define the duties

We fix what it has to do, what result we expect and when your approval is needed.

  3. 3

    We choose the tools

We pick the systems, data and services the employee will work with.

  4. 4

    We build the core

We create the base for memory, task execution, work with tools and control of actions.

  5. 5

    We create the AI employee

We set up the role, instructions, business knowledge and access to the required tools.

  6. 6

    We test and launch

We check it on real tasks, refine it and launch it into daily work.

  • ~1 month: the first employee
  • 2-3 weeks: each next one
Pricing

How much an AI employee costs: clear and predictable

The first AI employee
$1 500-3 000

One-time development fee. The price depends on how complex the role is and how many tools the employee works with.

Each next one
20-30% cheaper

The infrastructure is already there, you pay for the new role.

Regular costs

  • A Claude subscription from $20/month: agents need a subscription, which you set up yourself
  • Hosting: we build and host the agents on your server, if you have one
  • Alternative: hosting on our servers for $15/month

Questions about AI employees

A software colleague with a role, a memory and access to your systems. A chatbot mostly answers questions, while an AI employee does tasks: prepares an offer, checks an order, reminds a client, handles documents. It reports on the result and hands important decisions to you.
No. What the employee does alone and what only with your confirmation is set by the regulations. Payments, sending to clients and status changes usually need approval. Every action is written to the log.
The first AI employee costs $1,500-3,000 as a one-time development fee, depending on the complexity of the role and the number of tools. Each next one is 20-30% cheaper. You also need a Claude subscription from $20/month (set up by you) and hosting: on your server or on ours for $15/month.
The first AI employee takes about a month, each next one 2-3 weeks, because the infrastructure is ready. The timing depends on the complexity of the role and the number of integrations.
Any web application that has an API or code access: Telegram, KeyCRM, Zoho, custom CRMs and accounting systems. We don’t rewrite your systems, we only connect to them.
On your server or on our separate one. The employee gets only the access you give through separate keys, and you can revoke a key at any time. Only the context needed for the task is sent to the language model.
Sales, accounting, contracts and legal review, QA, project management, work with partners, purchasing, order processing. We go through your processes and pick the roles where AI helps the most.
Yes. The main audience is companies of 5-100 people with a CRM or spreadsheets, where managers drown in emails, documents and reminders. You can start with one employee for the most painful process.
